SynthioLabs, Ltd. and its affiliates worldwide ("SynthioLabs," "we," "our," or "us") are committed to protecting the privacy of users ("you" or "user") of Ather, our enterprise-grade AI agent for customer support. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you access or interact with the SynthioLabs AI Agent. By accessing or using the Agent, you acknowledge that you have read, understood, and agree to be bound by thisPrivacy Policy. If you do not agree, please discontinue use of the Service immediately. This Policy is intended to comply with applicable privacy laws and regulations.
By submitting Personal Data through our Services, you agree to the terms of this Privacy Policy and consent to the use of your Personal Data in accordance with it.You also understand that your use of Ather may involve the collection, processing, and storage of Personal Data in accordance with applicable privacy laws (e.g., California Consumer Privacy Act, Swiss Federal Act on Data Protection, EU General Data Protection Regulation, and the U.S. Health Insurance Portability and Accountability Act) and your organization’s privacy policies (e.g., Pharma X’s privacy policies, where applicable).
Access logs and other usage data may be monitored to ensure compliance with legal, security, and operational requirements. SynthioLabs is committed to protecting Personal Data and will handle all such information in a manner consistent with its corporate privacy standards and applicable data protection regulations.
We may revise this Privacy Policy from time to time. Any substantial changes will be announced by a prominent notice on this page together with the effective date. Where required by law, we will also provide direct notice. Continued use of our Services after changes are posted constitutes your acceptance.
We do not knowingly collect any data from children under 13. If we learn we have done so, we will delete such data promptly.
Your Personal Data may not be be transferred and stored outside of your country of residence. Our supported region of residence is the US.
5.1 Information You Provide. When you register for or use theAgent, we may collect: Name, professional title, and licensure information, National Provider Identifier (NPI) or equivalent professional credentialing number, Employer/institution name and contact information, Email address and professional contact details, Specialty, practice area, and clinical focus, Login credentials(username/password or single sign-on credentials)
5.2 Information Generated Through Use of the Agent. When you interact with the Agent,we collect queries and questions submitted to the Agent regarding drugs, dosing, indications, interactions, and related clinical topics, conversation history and session transcripts, voice recordings of the sessions, timestamps and session duration data, feedback, ratings, and corrections you provide regarding Agent responses. For Ather's voice functionality, we may also process audio/voice input, call recordings (if enabled), transcripts and real‑time captions, and related call/session metadata (e.g., call start/end time, duration, device/connection type, region, and network quality) in order to deliver the Services (e.g., transcription, voice responses, quality assurance, and support). Recording and transcription features are subject to your organization’s settings and applicable consent requirements.
5.3 Automatically Collected Technical Information. We may automatically collect certain technical information when you use the Service: IP address and approximate geolocation, device type, operating system, and browser information, Unique device identifiers and session tokens, logfiles, access times, pages viewed, and navigation patterns, referral URLs and entry/exit points.
6.1 General Use. We use Collected Data to authenticate your identity and verify your credentials, to provide accurate, personalized drug information responses through the Agent, to maintain conversation context and session continuity, to process your queries and deliver responses in real time, to analyze usage patterns, to provide structured insights and compliance support for enterprise workflows, to respond to inquiries and provide technical support.
We do not sell Collected Data and we do not share Collected Data for cross‑context behavioral advertising or any advertising.
6.2 Anonymous Data. We may use and disclose de-identified data for analytics, research, and product improvement .
6.3 Feedback. Any feedback may be used for business purposes, subject to this Privacy Policy.
8.1 Access, Correlation and Deletion. You may request access, correction, or deletion of Collected Data by contacting us. We will comply subject to legal and contractual requirements. Where applicable, we will honor rights to erasure and portability. For enterprise deployments of Ather, access, deletion, and retention requests may need to be directed to the organization’s administrator, as settings and controls are managed at the enterprise level.
8.2 Device & Microphone Controls (Voice). You may manage browser or device permissions (e.g., microphone access) which can impact voice features.
We use appropriate technical, organizational, and administrative measures to protect data against loss, misuse, or unauthorized access.
We retain Personal Data as long as necessary for business purposes, compliance, or as required by law. For enterprise deployments of Ather, retention of call recordings, transcripts, and session logs follows your organization’s settings. Residual copies may remain in archives or backups.
We retain your personalinformation for as long as necessary to fulfill the purposes described in this Policy, to comply with legal obligations, resolve disputes, and enforce our agreements. Typical retention periods are as follows:
- Account registration data: Retained for the duration of your active account, plus 7 years following account closure
- Query and conversation logs: Retained for up to 3 years for service improvement and compliance purposes, after which they are de-identified or deleted
- Technical/log data: Retained for up to 12 months
You may request deletion of your information at any time (subject to legal hold obligations) by contacting privacy@synthiolabs.com.
This Privacy Policy applies to SynthioLabs' standard Ather product. If you are accessing the Agent through an enterprise or institutional deployment, a separate privacy policy may apply. Where a separate policy exists, it will be presented directly within your deployed Agent and will govern in place of or in addition to this Policy. Please refer to that policy for the terms applicable to your use.
