SynthioLabs, Ltd. and its affiliates worldwide ("SynthioLabs," "we," "our," or "us") are committed to protecting the privacy of users ("you" or "user") of Jarvis Assist / Voice AI Copilot, our enterprise-grade voice AI companion for pharma teams. This Privacy Policy describes our practices regarding the Personal Data we collect when you use the Services.As used in this Privacy Policy, "Personal Data" means data that identifies or can reasonably identify a user (e.g., name, address, telephone number, email address), as well as other non-public information linked to such data.If you have any concerns or questions about your privacy or use of our Services, please see Section 12 (How to Contact Us).

1. CONSENT

By submitting Personal Data through our Services, you agree to the terms of this Privacy Policy and consent to the use of your Personal Data in accordance with it.You also understand that your use of Voice AI Copilot may involve the collection, processing, and storage of Personal Data in accordance with applicable privacy laws (e.g., California Consumer Privacy Act, Swiss Federal Act on Data Protection, EU General Data Protection Regulation, and the U.S. Health Insurance Portability and Accountability Act) and your organization’s privacy policies (e.g., Roche’s privacy policies, where applicable).

Access logs and other usage data may be monitored to ensure compliance with legal, security, and operational requirements. Voice AI Copilot is committed to protecting Personal Data and will handle all such information in a manner consistent with its corporate privacy standards and applicable data protection regulations.

2. CHANGES TO THIS PRIVACY POLICY

We may revise this Privacy Policy from time to time. Any substantial changes will be announced by a prominent notice on this page together with the effective date. Where required by law, we will also provide direct notice. Continued use of our Services after changes are posted constitutes your acceptance.

3. CHILDREN UNDER 13

We do not knowingly collect Personal Data from children under 13. If we learn we have done so, we will delete such data promptly.

4. INTERNATIONAL TRANSFERS

Your Personal Data may not be be transferred and stored outside of your country of residence. Our supported region of residence is the US.

5. TYPES OF DATA WE COLLECT

5.1 Personal Data You Provide. Includes information you submit to the application. In enterprise deployments, admins may provision user accounts and settings on your behalf.

5.2 Personal Data Collected via Technology. We and our providers automatically collect data such as IP address, browser type, device identifiers, time zone, operating system, referring URL, usage activity, clicks, queries, and interactions. We use cookies, pixels, and analytics tools.

For Jarvis Assist’s voice functionality, we may also process audio/voice input, call recordings (if enabled), transcripts and real‑time captions, and related call/session metadata (e.g., call start/end time, duration, device/connection type, region, and network quality) in order to deliver the Services (e.g., transcription, voice responses, quality assurance, and support). Recording and transcription features are subject to your organization’s settings and applicable consent requirements.

We also collect interaction logs (queries, prompts, responses) exchanged with Jarvis Assist to support enterprise workflows and compliance.

6. USE OF YOUR DATA

6.1 General Use. We use Personal Data to:Deliver and operate Jarvis Assist, including voice interactions, call prep, note-taking, documentation support, and enterprise dashboards.

Provide structured insights and compliance support for enterprise workflows.
Respond to inquiries and provide technical support.Improve, secure, and audit Jarvis Assist.
Perform analytics and quality assurance.Comply with legal obligations.

We do not sell Personal Data and we do not share Personal Data for cross‑context behavioral advertising or targeted advertising.

6.2 Anonymous Data. We may use and disclose de-identified data for analytics, research, and product improvement.

6.3 Feedback. Any feedback may be used for business purposes, subject to this Privacy Policy.

7. DISCLOSURE OF YOUR PERSONAL DATA

  • 7.1 Change of Control: In mergers, acquisitions, or asset transfers, Personal Data may be transferred to the successor entity.
    7.2 Legal Requirements & Harm Prevention: We may disclose to comply with law, enforce terms, or protect rights, safety, or security.
    7.3 Service Providers: We engage third-party providers for hosting, telephony, analytics, dashboards, customer support, and security in connection with Jarvis Assist. They are contractually bound to use data solely to provide services to us and are prohibited from selling Personal Data.
    7.4 Direct Marketing (No Sale/Sharing): We do not sell Personal Data. We do not share Personal Data with third parties for their own marketing or for cross‑context behavioral advertising. We may send our own marketing communications consistent with your preferences and applicable law.
    7.5 Links: External sites are governed by their own privacy policies, not ours.

8. YOUR CHOICES

8.1 Access, Correlation and Deletion. You may request access, correction, or deletion of your Personal Data by contacting us. We will comply subject to legal and contractual requirements. Where applicable, we will honor rights to erasure and portability. For enterprise deployments of Jarvis Assist, access, deletion, and retention requests may need to be directed to your organization’s administrator, as settings and controls are managed at the enterprise level.

8.2 Device & Microphone Controls (Voice). You may manage browser or device permissions (e.g., microphone access) which can impact voice features.

9. SECURITY

We use appropriate technical, organizational, and administrative measures to protect data against loss, misuse, or unauthorized access.

10. RETENTION

We retain Personal Data as long as necessary for business purposes, compliance, or as required by law. For enterprise deployments of Jarvis Assist, retention of call recordings, transcripts, and session logs follows your organization’s settings. Residual copies may remain in archives or backups.

11. DO NOT TRACK

Our Services do not currently respond to “Do Not Track” signals due to lack of industry consensus.

13. DISPUTE RESOLUTION

If you believe we have not complied with this Privacy Policy, please contact us first at privacy@synthiolabs.com. We will work to address your concerns. If unresolved, you may have the right to escalate to data protection authorities in your jurisdiction.
